Job Summary


The Clinical Affiliations Specialist is responsible for coordinating the development and execution of affiliations and related documents between the College and external partners as it relates to clinical rotations. Position incumbent will be relied upon to track all contracts, coordinate re-negotiations, process preceptor payments and provide operational support to the Senior Director of Operations.

  • Demonstrated familiarity with basic contract language, terms, and clauses.
  • Ability to provide high quality customer service; maintain professional communication with faculty, campus administrators and industry representatives by providing regular status updates.
  • Well organized with the ability to set priorities and meet deadlines.
  • Proven ability to handle multiple projects and tasks simultaneously.
  • Ability to work independently under pressure and know when to seek support from supervisor.
  • Strong ability to use a variety of computer programs as needed including Microsoft Office software.
  • Ability to handle detail-oriented assignments with accuracy and consistency, with minimal supervision.
  • Advanced Excel user with the ability to create and manage complex spreadsheets.
Required Qualifications
  • Education: BA/BS degree required. Any combination of education, training or experience that provides the required knowledge, skills and abilities needed for the position.
  • Experience: 2 - 4 years clerical office experience.
Preferred Qualifications
  • Education: Bachelor's Degree in Business Administration, Organizational Management, Legal Theory, or related field strongly preferred.
  • Experience: 2-4 years project coordination experience in a large, high volume office setting.
  • Prior experience with contract management highly preferred.
Essential Job Duties


Key Responsibilities


Coordinates the timely setup, execution, and maintenance of facility and individual preceptor Affiliation Agreements for all College of Veterinary Medicine clinical education sites. Ensures compliance with affiliation agreement timelines and institutional policies. Acts as a liaison during the negotiation and review of contracts and agreements with clinical rotation sites and individual veterinary preceptors, as directed. Monitors and tracks the full contract lifecycle, including initial setup, renewals, and amendments. Serves as the primary point of contact within the College for all affiliation agreement-related inquiries and ensures accurate and timely communication with relevant University departments and stakeholders.

Key Responsibilities


Maintains the College of Veterinary Medicine's databases and software systems used to track hospital and clinical site affiliations. Ensures accurate and up-to-date records of veterinary clinical preceptors and adjunct faculty associated with affiliated sites. Supports data integrity, compliance, and reporting functions to meet accreditation standards and programmatic requirements.

Collaborates with assigned departments to process payments to veterinary preceptors, affiliated hospitals, independent contractors, and vendors, in accordance with approved contracts and procurement and accounts payable guidelines.

Provides support for special projects within the Clinical Relations Department as assigned by the supervisor. Participates in cross-training with Clinical Relations Coordinators to offer overflow support during peak periods or as needed, ensuring continuity of service and departmental efficiency.

Develops, compiles, and disseminates reports relevant to the Clinical Relations Department, including accreditation documentation and updates for College Administration. Ensures timely and accurate reporting to support program compliance and strategic decision-making.
