Grants Bookkeeper - Pulaski County School Board Office July 8, 2025 Preferred Qualifications: - Associates degree in Finance, Accounting, Public Administration, or related field.
- Minimum of 3-5 years of experience in financial administration, preferably in an educational or public sector setting.
- Experience managing budgets and coordinating compliance with external regulations.
- An equivalent combination of education, training, and experience may be considered.
Position Summary: The Grants Bookkeeper provides comprehensive support for the financial administration, monitoring, and reporting of federal, state, local, and private grant programs. This role
ensures programmatic and fiscal compliance with grantor regulations, facilitates budget development, manages reporting requirements, and assists in strategic planning for funding
initiatives. The incumbent will serve as a liaison between instructional staff, finance personnel, and external stakeholders while maintaining detailed records for audit and
compliance purposes. The Grants Bookkeeper will also assist the Director of Student Services in any clerical or administrative tasks needed.
Essential Functions - Collaborate with Instruction and Finance to prepare and submit grant applications.
- Monitors grant applications, amendments, and reports to ensure alignment with programmatic and regulatory requirements.
- Monitor, reconcile, and track expenditures for all active grants (e.g., Title I-IV, School
- Improvement, Extended Learning, etc.) using systems such as OMEGA and the general ledger.
- Collaborate with finance and budget departments to resolve discrepancies, maintain budget integrity, and close out accounts.
- Ensure compliance with federal, state, and local laws, including procurement standards and grant-specific requirements.
- Oversee the documentation and retention of all grant-related financial records and materials for audit purposes.
- Provide training and guidance to school-based staff on documentation standards, budget use, and grant compliance practices.
- Prepare reports for the Director of Finance to be presented to leadership, including the Superintendent, School Board, or designees.
- Coordinate staffing levels and budget allocations related to grant funding during budget planning cycles.
- Provide administrative support including processing purchase orders, travel forms, requisitions, and managing grant-related correspondence.
- Represent the district in professional meetings, trainings, and workshops related to grant management and funding opportunities.
- Actively seek out and support new funding opportunities aligned with district goals.
Knowledge, Skills, and Abilities: - Proficient knowledge of grant accounting, financial reporting, budgeting, and public finance principles.
- Ability to interpret complex regulations and guidelines related to federal, state, and private grants.
- Strong analytical skills for fiscal oversight and data interpretation.
- Effective written and oral communication skills with the ability to engage various stakeholders.
- High proficiency in Microsoft Excel, Word, and financial management systems (MUNIS); experience with systems such as OMEGA or similar platforms is preferred.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities under strict deadlines.
- Ability to exercise discretion, judgment, and maintain confidentiality.
